Weekly Follow-Up App Instructions
Quick Summary: Important Things Not to Miss
The Weekly Follow-Up App helps us keep track of people who visited church, prayed, or need another contact.
- Open the Weekly Follow UP app.
- Review the people assigned to you.
- Contact each person by text, call, visit, or in person.
- Add the date you tried to reach LAST FW-UP
- Update their FW-UP Status.
- Update their FW-Stage if needed.
- Add a short note.
- Set the Next FW-UP date if they still need contact.
- Tap Save.
Most important: If someone still needs follow-up, set the Next FW-UP date. The app can send you a reminder notification when that date comes.
What This App Is For
Our follow-up app helps us care for people who visit church, pray, or need continued contact.
Instead of texting lists back and forth, each follow-up worker can open the app, see their assigned people, update the follow-up status, add notes, and schedule the next follow-up date.
This helps us stay organized and make sure no one falls through the cracks.
Step 1: Open the Weekly Follow-Up App
Open the Weekly Follow UP app on your phone.
You will see a list of people assigned for follow-up.
Each person will show their first and last name. You may also see a phone icon on the right side that lets you quickly call them.
Step 2: Choose the Person You Are Following Up With
Tap the name of the person you contacted or plan to contact.
This will open their follow-up record.
You may see information such as:
- Member Status
- Event Prayed
- Assigned Worker
- FW-UP Status
- Next FW-UP
- Worker Email
- Date Prayed
- Notes
- Prayer Request
Step 3: Edit the Follow-Up Information
To update a person’s follow-up, tap the edit pencil button.
Then update the fields that apply.
Important fields to update:
- FW-UP Status
- Last FW-UP
- Next FW-UP
- FW-Stage
- Notes
- Prayer Request
Step 4: Set the Next Follow-Up Date
If the person still needs follow-up, set a date in Next FW-UP.
This tells the app when this person should be contacted again.
For example, if you set the next follow-up date to 05/20/2026, the app can send you a reminder notification on that date.
Step 5: Save Your Changes
After you update the follow-up information, tap Save.
Do not forget to save, or your updates may not be recorded.
Reminder Notifications
If you set a Next FW-UP date, the AppSheet app can send you a notification.
The notification may say something like:
Follow-up set for (Person’sName)
Check your app! A follow-up is scheduled for (Name) on 5/20/2026.
This reminder helps you remember who needs another contact.
Understanding FW-UP Status and FW-Stage
When you update a person in the follow-up app, you will see two important dropdowns:
- FW-UP Status
- FW-Stage
These are not the same thing.
Simple Way to Remember
FW-UP Status means: What happened with this person this week?
FW-Stage means: Where is this person in the bigger follow-up and discipleship process?
FW-UP Status
FW-UP Status tells us what is happening with the person right now for this week’s follow-up.
Use this field to report the current follow-up result.
FW-UP Status Options
New
Use this when the person is new and has not been assigned or contacted yet.
Assigned
Use this when the person has been assigned to a follow-up worker but has not been contacted yet.
Contacted this week
Use this when you successfully contacted the person this week by text, phone call, in person, or another method.
No Answer
Use this when you tried to call or contact them, but they did not answer.
Example note: Called but no answer. Try again next week.
Left Message
Use this when you left a voicemail or sent a text message but have not heard back yet.
Example note: Left voicemail and invited her to service.
Visit Scheduled
Use this when a visit has been scheduled with the person.
Example note: Visit scheduled for Thursday evening.
Needs Another Contact
Use this when the person still needs more follow-up.
Examples:
- They replied but have not come back yet.
- They said they may come Sunday.
- They need another reminder or invitation.
Needs pastor
Use this when the person needs pastor follow-up.
Examples:
- They requested prayer or counseling.
- They have a serious need.
- They asked to speak with the pastor.
Completed this week
Use this when you finished the follow-up needed for this week.
Example note: Contacted this week and updated their information.
Not interested
Use this when the person clearly says they are not interested.
Example note: Said they are not interested in follow-up at this time.
FW-Stage
FW-Stage tells us where the person is in the bigger follow-up and discipleship process.
This is more than just one phone call or text. It helps us know where they are spiritually and relationally.
FW-Stage Options
Contacted
Use this when the person has been contacted.
Visit Scheduled
Use this when a home visit, outreach visit, or meeting has been scheduled.
Came to Church
Use this when the person came to a church service.
Worship
Use this when the person is beginning to attend worship services more consistently.
Fellowship
Use this when the person is connecting with people in the church.
Examples:
- They are coming to church events.
- They are spending time with church people.
- They are building relationships.
Devotion
Use this when the person is beginning to pray, read their Bible, or build personal devotion.
Evangelism
Use this when the person is beginning to witness, invite others, or be involved in outreach.
Baptized
Use this when the person has been baptized in water.
Discipleship
Use this when the person is becoming established and personally discipled.
Reproducing / Helping Others
Use this when the person is now helping others, following up with others, inviting others, or becoming fruitful.
Not Interested
Use this when the person is no longer interested in follow-up or church involvement.
Needs Pastor
Use this when the person needs direct pastor care, counsel, or follow-up.
Completed
Use this when the follow-up process is complete for that person.
Example Updates
Example 1: You called someone, but they did not answer
- FW-UP Status: No Answer
- FW-Stage: Contacted
- Next FW-UP: Set a new date to try again
- Notes: Called but no answer. Try again next week.
Example 2: You texted someone, and they said they may come Sunday
- FW-UP Status: Needs Another Contact
- FW-Stage: Contacted
- Next FW-UP: Set a date before Sunday
- Notes: Texted invite. They said they may come Sunday.
Example 3: Someone came back to church
- FW-UP Status: Completed this week
- FW-Stage: Came to Church
- Notes: Came to Sunday morning service.
Example 4: Someone wants a visit
- FW-UP Status: Visit Scheduled
- FW-Stage: Visit Scheduled
- Next FW-UP: Set the visit date
- Notes: Visit scheduled for Thursday evening.
Example 5: Someone asked to talk to the pastor
- FW-UP Status: Needs pastor
- FW-Stage: Needs Pastor
- Notes: Asked to speak with Pastor about family situation.
Example 6: You left a message but did not hear back
- FW-UP Status: Left Message
- FW-Stage: Contacted
- Next FW-UP: Set a date to try again
- Notes: Left voicemail. No response yet.
Example 7: Someone says they are not interested
- FW-UP Status: Not interested
- FW-Stage: Not Interested
- Notes: Said they are not interested in church or follow-up right now.
Good Notes Examples
Please keep notes short and clear.
- Texted invite to Sunday service. No reply yet.
- Called and left voicemail.
- She wants prayer for her family.
- Said he may come Wednesday.
- Wrong number.
- Needs a ride. Please follow up.
- Spoke with her. She said she wants to come Sunday.
- Asked for pastor to call.
What Every Worker Needs to Do Each Week
- Open the Weekly Follow UP app.
- Review the people assigned to you.
- Contact each person by text, call, visit, or in person.
- Add the date you tried to reach LAST FW-UP
- Update their FW-UP Status.
- Update their FW-Stage if needed.
- Add a short note.
- Set the Next FW-UP date if they still need contact.
- Tap Save.
How to Add the App Shortcut
If you want the app to be easier to find on your phone, open the side menu by tapping the menu icon.
You may see options like:
- About
- Feedback
- Share
- App Gallery
- Add Shortcut
Tap Add Shortcut to place the app on your phone screen.
Final Reminder
Please update the app every time you contact someone.
This helps the church know:
- Who was contacted
- Who still needs follow-up
- Who needs prayer
- Who may need a visit
- Who came back to church
- Who needs pastor follow-up
